Managing User Roles

Managing user roles is simple and efficient. In addition to handling user management tasks such as invitations and access requests, you have full control over assigning and adjusting user roles.

Note: The permissions and role management options vary depending on your company type (Vendor, MSP, or MSP Customer). However, the steps for managing roles are the same across all company types.

Viewing user roles

You can view the permissions associated with a role without entering edit mode.

  1. From the side navigation, click to expand Company Profile.
  2. Click Manage Roles.

  3. In the Actions column, click the 3-dots next to the role you want to view.
  4. Click View.
  5. Scroll through the permissions list, using the chevrons to collapse/expand sections as needed.
  6. When finished, click Close.

Add user roles

Roles created under your profile are specific to your company.

If you’re an MSP with MyITSpend enabled and need to create a role for a customer profile, you must access the customer profile to manage roles.

  1. From the side navigation, click to expand Company Profile.
  2. Click Manage Roles.
  3. Click Add New.
  4. Toggle the appropriate permissions to either View or Edit. Tip: If you enable Edit, the View permission will automatically be selected.
  5. Once you’ve configured the permissions, click Save.

Duplicate user roles

Duplicating an existing role allows you to quickly create a new role with only minor changes to the original.

  1. From the side navigation, click to expand Company Profile.
  2. Click Manage Roles.
  3. In the Actions column, click the 3-dots next to the role you want to duplicate.
  4. Click Duplicate.
  5. Update the role’s name and description.
  6. Adjust the permissions (enable or disable View or Edit) as needed.
  7. Once your updates are complete, click Save.

Reset user roles

You can reset predefined roles that have been customized. Only roles marked as "Customized" can be reset.

  1. From the side navigation, click to expand Company Profile.
  2. Click Manage Roles.
  3. In the Actions column, click the 3-dots next to the role you want to reset.
  4. Click Reset. Alternatively, click View to confirm the role before resetting. You can also reset to system defaults directly from the viewing window by clicking Reset to Default.
